Comments

Suggested text: When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

Suggested text: If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Suggested text: If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Who we share your data with

Suggested text: If you request a password reset, your IP address will be included in the reset email.

How long we retain your data

Suggested text: If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

Suggested text: If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

The ambassador programme

The programme is open to people aged 18 or over. Some of our customers, and some people who do not own a Sauna at all, take part in it. An ambassador is someone a prospective buyer can speak to before deciding: a person in their country, often in their own language, who will answer honestly. This section explains what we hold about them and what we do with it. If you are not in the programme, none of it applies to you.

If you apply to join

When you send us an application we collect your name, email address, phone number, country, region or town, the languages you speak, how you came to know the product, your confirmation that you are 18 or over, and anything else you choose to write to us. We ask for a phone number because being reachable is what the role consists of.

We do not ask for your date of birth. Your confirmation is enough, and asking for more than we need would create a problem of its own.

We process this to decide whether to accept you, which we do on the basis of your consent in sending it. A person reads every application.

The form is also checked for automated submissions, so that the notifications and messages a real application triggers are not spent on machines. This uses a service provided by Cloudflare, who already host our systems, and it does not build a profile of you or track you across other websites.

If we accept you, the information becomes part of your record with us and is kept for as long as you are in the programme. If we do not accept you, we keep the application for 12 months and then delete it. We keep it rather than deleting it at once so that we recognise you if you write to us again, and so that we can account for how we decided. You may ask us to delete it sooner and we will.

If you are an ambassador

Alongside the details above we record which region you are in, which languages you can talk in, whether you own a Sauna4Soul, and — separately — each of the ways you have agreed a buyer may reach you: by email, by phone, by video call, or by showing the Sauna in person. We may also keep short notes of our own about working with you.

We keep this for as long as you are in the programme. You can leave at any time, without giving a reason, and we will remove you from the programme and stop passing your details to anyone. Records of any rewards already earned or paid are kept separately — see below.

When we introduce you to a buyer

This is the part worth reading closely, because it is the only situation in which we give your details to somebody outside our company.

When a prospective buyer near you is considering a Sauna, we ask you first. Only if you agree, on that particular occasion, do we pass on your name and the contact details matching what you have agreed to — for example your phone number if you have said you are willing to take calls. Agreeing once does not stand as agreement for every time afterwards; we ask again each time.

We never disclose your address. Not to a buyer, not on a map, not in any list. If you have agreed to show your Sauna to someone, the arrangement is made between you and them, and it is for you to decide what to tell them and when.

We also do not publish ambassadors anywhere that can simply be read off the page. A prospective buyer sees that someone exists in their area, and how far away they are, only once they have given us their own name and contact details — so that the exchange runs in both directions rather than turning your details into a directory anyone can harvest.

Keeping you informed

Being in the programme means we send you what you need in order to do it: what is new, what buyers are asking at the moment, and what to tell them. This goes by email, and also by SMS if you are a local contact rather than an owner, since you will be answering questions about saunas you do not have at home. We send it because you cannot speak for a product you have heard nothing about, and it stops the day you leave the programme.

Offers and promotions of the ordinary commercial sort are a different matter. Those are sent only if you have separately asked for them, and you can stop them at any time without it affecting your place in the programme.

E-Mail and SMS are sent through Brevo, whose role is described elsewhere in this policy. You can stop the SMS on its own at any time and stay in the programme; tell us and we will simply write to you instead.

Rewards

When a Sauna is ordered by someone you have spoken to, and that order is completed and paid, you receive a share of it. To work this out and to pay it, we record which orders were attributed to you, the amount earned on each, and what has been paid out to you and when.

These are accounting records. We keep them for 7 years after the end of the financial year they belong to, as Latvian accounting law requires, and we cannot delete them earlier — including if you leave the programme or ask us to erase everything else. What tax you owe on what you receive is a matter between you and your own tax authority.

Who else sees this

Applications and orders are notified to our own staff through Telegram, and that notification includes the applicant’s or ambassador’s name and contact details. Telegram is not established in the European Union. This is described in more detail elsewhere in this policy, along with how to ask us to use email or the telephone instead.

Everything else is held in the same systems described elsewhere in this policy: our order database, hosted by Cloudflare in the European Union, and Brevo for email and SMS.

Your choices

You can, at any time and without giving a reason:

  • change which ways a buyer may reach you, or withdraw all of them;
  • leave the programme entirely;
  • stop receiving offers, separately from anything else;
  • ask us what we hold about you, ask us to correct it, or ask us to delete it — subject to the accounting records described above, which we are required to keep.

Write to hello@sauna4soul.com and we will deal with it. Withdrawing consent does not affect anything done before you withdrew it.
